In "Qualification Management" you can register, update, and delete qualifications.
Using Credentials
When you register qualifications from this menu, they can be viewed by general users on the "Credentials Registration" screen.
By associating qualifications with skills or human resource models, you can register them as qualifications that are required to acquire skills. (Required Skills)
You can also automatically acquire associated skills by acquiring specific qualifications. (Acquired Skills)
Here you can create a "qualification classification" for managing multiple related qualifications as a single group.
By setting levels for qualifications nested within the same qualification classification, you can distinguish between higher and lower qualifications of the same type.
(For example: Create a qualification classification called "English Proficiency Test", and within that create qualifications such as "English Proficiency Test Grade 1" and "English Proficiency Test Grade 2", and set the level so that Grade 1 has a higher number.
By doing so, you will be able to search for individuals on a conditional search page, for example, by "Employees who hold English Proficiency Test Grade 2 or above.")
To add a new qualification classification, click the "Add" button at the top of the screen, enter the qualification classification name in the dialog that appears, and click "Add" in the dialog.
You can also create a tree-structured classification by setting parent and child elements for the classification from the submenu to the right of the classification name.
You can adjust the display order of qualification classifications by clicking the "Order" link on the "Edit Qualification Classification" screen.
For example, you can use this to display qualifications that are relevant to all employees at the top, and qualifications that are only relevant to certain employees at the bottom.
Enter the order in increments of 10 in the display order input form and click "Update Order".
Smaller numbers will be displayed higher.
Also, if you enter the last digit, the number will be automatically converted to a multiple of 10 and registered in ascending order.
(For example, if you enter 11, 12, 13 and click the update button, it will automatically be converted to 10, 20, 30.)
You can also delete qualification classifications once you have created them.
Select "Delete" from the submenu of the qualification classification you want to delete.
However, you cannot delete a qualification classification that has qualifications under it.
If you want to delete a qualification classification, you will need to move or delete the qualifications under it.
When you select "Edit Qualification" from the qualification classification submenu, you will be taken to the edit screen for the qualification within the qualification classification.
Click the "Add" button at the top of the qualification editing screen to move to the qualification addition screen.
After filling in the required information, click the "Update" button to add the qualification.
Input items
Qualification Name (Required)
The name of the qualification.
Level (required)
This is the level of qualification.
Overview
Summary information about the qualification.
Expiration date
The expiration date of the credential. Credentials that have passed this expiration date will be treated as invalid and will no longer be accessible to users.
Do not display expiration alerts
Even if the qualification expires, the alert will no longer be displayed in the Administrator menu or Master Management menu.
Enable/Disable
You can enable or disable the qualification.
Display order
Set the order in which qualifications are displayed on the screen.
Qualification registration
Require Renewal Deadline
If you select "Yes", you will be required to enter the renewal deadline when acquiring a qualification. If the renewal deadline has expired, it will be treated as if it has not been acquired.
Use Approval Flow
If you select "Yes", approval by a manager is required when acquiring a qualification. The user selects an approver when registering the qualification information, and the qualification acquisition information will not be updated until it is approved by the manager.
Require Attachment of Proof of Attachment
If you select "Yes", you will be required to attach proof of attachment when applying for qualification. Files that can be attached are PDF and image files. By combining with the approval flow, you can create a workflow in which a manager checks the evidence of qualification acquisition and certifies that the qualification has been acquired.
Skill Linkage
You can select the skills to link to the qualification. Details will be described later.
Level Restriction
Any level of the career model linked to the qualification will be displayed. Details will be described later.
*About expiration dates
When the expiration date set for a qualification expires, it will be treated as invalid.
If there are any expired qualifications, the following alert will be displayed at the top of the administrator menu.
In addition, on the qualification list screen, the background color of the expiration date will turn red and an expired alert will be displayed.
You can associate qualifications with any skill (and answer rank).
In addition to simply linking them as related qualifications, you can also register them as qualifications that must be acquired in order to acquire a skill (required skills).
You can also automatically acquire associated skills by acquiring a specific qualification (acquired skills).
Clicking the "Skill collaboration Select" link will open a skill selection window where you can select the skills and answer rank of your choice.
The skills will be added to the screen at this point, but the association between the skills and qualifications has not yet been finalized.
Check "Acquired Skills" or "Required Skills" as necessary, and be sure to click the "Update" button at the end.
Displays the desired level of the career model linked to the qualification.
When a qualification is associated with a level restriction, its acquisition is added to the judgment criteria for the career model, and the specified level will not be judged unless the qualification is acquired, regardless of the skill answer.
Level restriction settings cannot be edited from this screen.
Go to "Master Management -> Career Model -> Career Model Judgment Condition Settings -> Level Restriction Settings".
You can update, edit, or delete qualifications from the "Edit Qualifications" screen.
Clicking Edit Qualifications will display a list of qualifications registered under the qualification classification.
Clicking the Edit button to the right of the qualifications list will display the qualification editing screen.
The qualification editing screen and operation procedures are the same as those for "Adding qualifications" in the previous section.
Click the "Delete" button displayed on the qualification editing screen.
A confirmation will be displayed, so if you agree, click the "OK" button.
You can check a list of qualification acquisition status by clicking the "Qualification Acquisition Information" button on the qualification list screen.
You can obtain a list of users with four statuses: "Acquired," "Not acquired," "Renewal deadline approaching," and "Renewal expired."
Each list can be exported in CSV format, and you can update your qualification acquisition status by clicking the "Qualification Management" button to the right of the username.
You can move a qualification to another qualification classification by clicking the "Change parent element" button on the qualification list screen.
